Managing Contacts

Adding a new Customer or Agent is easy in eTrackCargo.com. Just follow these steps:

Sign into eTrackCargo.com with your User Id and Password. The Sign In screen looks like this:

Once you are successfully logged into the system, the Menu page opens and you will have 6 different options to choose from. The Menu looks like this:

Enter the value (or beginning of the value): Summary
      Detail
This being the help page the hyperlinks on the right are turned off. The actual eTrackCargo.com menu uses this blue area to display a message about each link to the right as you hover your mouse pointer over the link.

There are three ways to add customers and agents to your drop-down lists. The first way to add a new name is to click "Manage Users Lists" from the menu and enter the new names from here. The second way is to select right from the New Detailed Shipment form. The third way to access this function is to click the blue hyperlinks that are located within the summary format. Each method will bring you into the Manage User List where you will create user ID’s and passwords while managing all of your customer and agent information. The Manage User List entry box looks like this:


Select from the dropdown the type of contact you want to enter. To Add a new item you must click the 'New' button first , to delete an item click 'Delete', to save your changes click 'Save', to cancel your changes click 'Cancel'. To close this document and go back to the previous page click 'Close'. Note that if you click back to go back, the other pages will not reflect the changes.

The following are definitions of what each field represents:

Select the contact type: Within this field you have two choices: you can add a customer or agent. If you select "Customer," the new name information will appear in the Customer, Shipper, and Consignee drop-down data fields. When you choose "Agent" the information will appear in the Origin Agent and Destination Agent drop-down fields. Agents have the ability to edit and update any shipments they are involved with.

Company Name: Within this field is the name of the customer or agent you are adding. The information entered into this field will be displayed in your dropdown data fields for your customers and agents.

Address: Within this field you may display address information or any other information that you feel necessary to list for the customer or agent.

Save, Cancel, New, Delete, and Close: To add a new item click 'New', to delete an item click 'Delete', to save your changes click 'Save', to cancel your changes click 'Cancel'. To close this document and go back to the previous page click 'Close'. Note that if you click "Back" to go back, the other pages will not reflect the changes.

e-mail: This is where you select to have your customer receive automatic e-mail notifications when there has been a change in the shipment record. To activate the e-mails you need the check the Automatic e-Mail Notification box.

 Passwords: Each time you enter a new customer or agent the system will ask you if you would like to give this company access to the shipments that they are involved with or to just add them to the drop-down data fields.

If the customer or agent has a current eTrackCargo.com user ID and password or you would like to create one for them click "OK." The password entry box looks like this:

If the customer or agent has already been assigned an eTrackCargo.com user ID by another forwarder, just enter their current user ID in the eTrackCargo user ID box, and do not check the New User box as there is no need to create a new password. Click "OK." By using their existing user ID your customer or agent will be able to view and edit all there shipments with all eTrackCargo.com providers from the same form and not have to track multiple user ID’s. Please note: It is important to enter the customers’ or agents’ user ID exactly as originally assigned; otherwise, they will not be able to easily access all their data.

If you want to add a new eTrackCargo.com user ID for a new user, type in the desired user ID, check the New User box and enter the password twice, and click "Ok."

Since we allow you to enter an unlimited amount of users. We recommend that you keep a file of all passwords that you create.

Here is a step-by-step example of how to enter a Customer or Agent into the system. You can delete this practice entry at a later date.

From the Menu select "Detail" to set the data format.

Open a new shipment

Go to customer and click

Select "Customer" from the contact type field.

Click "New" The most common mistake made is not clicking the New button first.

Enter company name: Fox Company. This is what will be displayed in the dropdown menu.

Enter address: 123 Happy St

If you wish you may also enter an e-mail address for automatic e-mail notifications.

Click the automatic e-mail notification box to activate the e-mail.

Click "Save."

Once you click "Save" the prompt to create a password will appear. Click "OK"

Go ahead and create a new user ID. Click the "New User" box and assign a password. Write the user ID and password down so you can use it later. Click "OK" to save and post this information.

You have now returned to the Manage User List. Click "Close" and you will return to your new shipment and the name Fox Company will be available for selection in the drop-down menus for customer, shipper, and consignee.

To edit information for a customer or agent after the data has been saved, go back to "Manage Users List" and use the arrows to find the correct user. Change the information as desired and click "Save." Finish by clicking "Close."

If you are a new user of eTrackcargo.com we suggest entering all Customer and Agent information available at one time to save a lot of extra steps moving back and forth in the form.

Entering information into the Manage List on the menu works the same way without having to enter user ID’s and passwords. In "Manage List" you enter information such as carriers, cities, countries, and region/states.
